Attention All Exhibitors: Prepare Immediately for Overseas Client Reception!

1. Prepare materials and business cards.

Have bilingual company introductions, product brochures, paper business cards, and electronic files ready. Clearly list emails, international dialing codes, and active WhatsApp contacts—don't just leave a WeChat QR code. Carefully verify English words, numbers, and units.

2. Clearly explain how to eat and use products.

For foods, prepare samples, ingredients, packaging, and cooking instructions; especially for rare mushrooms, let clients know how to use them in local dishes. For strains and raw materials, explain application conditions; for equipment and technology, explain installation, training, maintenance, and after-sales service. Let clients know how to use and sell them after purchasing.

3. Respect culture and dietary habits down to the details.

Before tasting, ask about dietary taboos and allergies, clearly state ingredients and seasonings, and avoid cross-contaminating utensils. Do not casually guarantee Halal requirements. Ask if unsure, and do not guess based on nationality or appearance. Always obtain consent before photographing or publishing client information.

4. Have business-savvy staff present and set transaction terms in advance.

Arrange foreign language speakers or translators; booths must have personnel who understand products and can negotiate business. Prepare prices, currencies, minimum order quantities, delivery times, payment, and after-sales conditions in advance, and confirm key commitments in writing. Only promise what can be delivered, and deliver what is promised.

5. Ask about needs first, then promote products.

What business does the client do? Who do they sell to? What specifications, quantities, and services do they need? Listen carefully first, then introduce. Write down requirements and contact info, and define the next step after talking: send materials, quotes, samples, or arrange factory tours.

6. Pre-expo invitation, expo logging, post-expo follow-up.

Send booth numbers and key products to clients in advance. Organize negotiation records after closing each day, assigning follow-up personnel and reply deadlines. Contact clients via their preferred channels and appropriate time zones; don't be enthusiastic at the exhibition and go silent afterwards.
